JFK Photography respects the privacy of our customers, students, families, schools, and organizations. This Privacy Policy explains the types of information we collect, how we use and protect that information, and how information associated with our school photography services is handled.

Information We Collect

Depending on how you interact with JFK Photography, we may collect information including:

• Mailing address
• Telephone number
• Billing and order information
• Account information
• IP address and browser information
• Information necessary to process photography orders and provide customer service

For school photography services, we may also receive limited student information directly from a school or school district as described in the Student and School Photography Data section below.

How We Use Personal Information

We use personal information only as reasonably necessary to provide our photography services, including:

• Processing and fulfilling photography orders
• Managing customer accounts
• Providing access to private photo galleries
• Responding to customer service requests
• Producing and delivering photography products
• Communicating with customers about their orders
• Providing contracted photography services to schools and organizations
• Maintaining and improving the operation and security of our website

We may also send information about JFK Photography products or services when an individual has chosen to receive such communications.

JFK Photography does not sell or rent personal information.

Student and School Photography Data

Information We Receive from Schools

When JFK Photography is contracted to provide photography services to a school, the school or school district may provide us with limited student information necessary to perform those services.

This information may include:

• Student first name
• Student last name
• Student identification number
• Grade
• Teacher or classroom
• Student photograph

We collect and use this information solely for purposes related to providing contracted photography services.

How Student Information Is Used

Student information may be used to:

• Generate photography scan cards
• Identify students during picture day
• Match photographs to the correct student
• Process and prepare student photographs
• Create private online photo galleries
• Generate individual gallery access codes
• Fulfill parent or guardian photography orders
• Produce required school or district image files
• Provide photography-related customer service
• Fulfill other photography services requested by the school or district

Student information is not used for behavioral advertising or sold or rented to third parties.

Access to Student Information

Within JFK Photography, access to identifiable student information is limited to authorized personnel who require access to perform photography services.

Access is currently limited to the owners/operators of JFK Photography.

Private Student Galleries

Student photographs made available for online viewing are placed in protected galleries.

Parents or guardians receive an individual passcode associated with their student. The passcode is required to access the student's photographs.

Parents and guardians should keep these access codes private and should not share them with unauthorized individuals.

Storage and Security

Student rosters, student information, and photography files used internally by JFK Photography are stored on a private local server controlled by JFK Photography.

The primary storage server is not directly connected to or accessible from the public Internet and is used only within JFK Photography's local network.

For business continuity and data protection, JFK Photography maintains an off-site backup on a separate QNAP server located at a physically separate location. Backups are performed using QNAP HBS 3 Hybrid Backup Sync.

Access to the primary server and off-site backup system is restricted to authorized JFK Photography personnel.

JFK Photography uses reasonable administrative, physical, and technical safeguards intended to protect personal and student information from unauthorized access, use, alteration, loss, or disclosure.

No electronic storage or transmission system can be guaranteed to be completely secure. JFK Photography periodically reviews its storage, backup, access, and security procedures as appropriate for the information being maintained.

Service Providers

JFK Photography does not sell student information or provide student information to third parties for advertising or unrelated commercial purposes.

Certain third-party service providers may process limited student information or photographs when necessary to perform services on behalf of JFK Photography.

These services may include:

• Website hosting
• Online photography galleries and ordering
• Student and image matching
• Photo processing
• Professional photo laboratory and order fulfillment services
• Secure electronic file transfer or delivery
• Cloud storage or file-transfer services when necessary

Service providers used in our photography workflow may include Sytist/PicturesPro, our website hosting provider, PhotoLynx Flow, Richmond Pro Lab, Google Drive, and WeTransfer.

Only information reasonably necessary to perform the applicable service is provided or processed.

JFK Photography expects service providers handling student information on our behalf to use the information only for the services for which it was provided and to protect that information appropriately.

Student Data Retention

JFK Photography retains student information and photographs only for as long as reasonably necessary to provide photography services, support customer orders, handle replacement or late orders, and meet contractual or legal requirements.

Under our normal school photography workflow, student photographs and associated information may be retained through the following school year so that families can place late, replacement, or additional orders.

Where a school or district contract, data privacy agreement, or applicable law requires a different retention period, those requirements will be followed.

Student Data Deletion

A school or school district may request deletion or return of student information in accordance with its contract or applicable data privacy agreement.

Upon a valid request, JFK Photography will delete or return the applicable student information as required, subject to any legal or contractual retention requirements.

Parents or guardians with questions concerning student information originally provided to JFK Photography by a school may also contact the school or district responsible for the student record.

Security Incidents and Data Breaches

JFK Photography takes the security of student information seriously.

If JFK Photography becomes aware of unauthorized access to, disclosure of, or loss of student information, we will take reasonable steps to:

• Secure the affected systems and information
• Investigate the incident
• Determine what information may have been affected
• Notify the appropriate school or school district as required by the applicable agreement or law
• Cooperate with the school or district in responding to the incident
• Take reasonable corrective measures intended to prevent a similar incident

Any specific notification requirements contained in a school's or district's Data Privacy Agreement will be followed.

School and District Data Privacy Requirements

JFK Photography works with schools and school districts to address their applicable student data privacy and security requirements.

When required by a school or district, JFK Photography will review applicable data privacy agreements and privacy requirements relating to the student information used in connection with our contracted photography services.

Online Orders and Customer Information

Information submitted by customers through our website may be used to:

• Process orders
• Manage customer accounts
• Deliver purchased products
• Provide customer support
• Communicate concerning an existing order or account

Payment information may be processed through payment service providers used to complete transactions. JFK Photography does not sell customer information.

Once you leave the JFK Photography website, those third-party websites operate under their own privacy policies and practices. JFK Photography is not responsible for the privacy practices or content of websites that we do not control.

Customers who have created an online account may update certain account information through the My Account area of our website.

If you would like to request access to, correction of, or deletion of personal information maintained by JFK Photography, please contact us.

Requests involving student information originally supplied by a school or school district may also need to be coordinated with that school or district.
